Events Assistant – working student (20h/w)

The International Bowel Ultrasound (IBUS) Group is a not-for-profit association with more than 1000 members worldwide, founded by a group of international experts in bowel ultrasonography and inflammatory bowel diseases (IBD), which aims to promote the high-quality performance and adoption of intestinal ultrasound in IBD around the world. IBUS has established a global education program for interested gastroenterologists.

 

Our Educational Events team is looking for an Events Assistant to join their Berlin office.

 

Key Activities & Responsibilities:

  • Assist in the planning and coordination of events, including, workshops, virtual meetings and networking receptions.
  • Collaborate with the events team to brainstorm creative ideas for event themes, activities, and logistics.
  • Assist in venue selection and booking, ensuring suitability for each event's objectives and audience size.
  • Coordinate with vendors, suppliers, and service providers for catering, audiovisual equipment, and other event necessities.
  • Help manage and track expenses for events.
  • Online support for participants, speakers and trainers.
  • Assist in the participants invoicing and collections process.
  • Assist in promotional efforts for events, including creating promotional materials for social media and newsletters.
  • Assist in post-event activities, such as gathering feedback, analyzing event success metrics, and preparing event reports.
  • Maintain accurate records, databases, and files related to events, attendees, vendors, and expenses.
  • Support other administrative tasks and projects as needed.

 

Your profile:

  • Be an enrolled student on a Bachelors or Master’s degree.
  • You must have the right to work in Germany.
  • Fluent English language skills, both written and spoken. Basic German knowledge and other languages are an advantage.
  • Some practical experience in the field of event planning or customer service.
  • Reliable and customer service-oriented.
  • Strong organizational skills, attention to detail, communication skills and ability to work in a team.
  • Good knowledge of MS Office

 

What we offer:

  • Hourly salary: 16 EUR per hour
  • 1-year part-time contract (20 hours per week) with the possibility of extension based on projects and performance
