Events Assistant – working student (20h/w)

The International Bowel Ultrasound (IBUS) Group is a not-for-profit association with more than 1000 members worldwide, founded by a group of international experts in bowel ultrasonography and inflammatory bowel diseases (IBD), which aims to promote the high-quality performance and adoption of intestinal ultrasound in IBD around the world. IBUS has established a global education program for interested gastroenterologists.
Our Educational Events team is looking for an Events Assistant to join their Berlin office.
Key Activities & Responsibilities:
- Assist in the planning and coordination of events, including, workshops, virtual meetings and networking receptions.
- Collaborate with the events team to brainstorm creative ideas for event themes, activities, and logistics.
- Assist in venue selection and booking, ensuring suitability for each event's objectives and audience size.
- Coordinate with vendors, suppliers, and service providers for catering, audiovisual equipment, and other event necessities.
- Help manage and track expenses for events.
- Online support for participants, speakers and trainers.
- Assist in the participants invoicing and collections process.
- Assist in promotional efforts for events, including creating promotional materials for social media and newsletters.
- Assist in post-event activities, such as gathering feedback, analyzing event success metrics, and preparing event reports.
- Maintain accurate records, databases, and files related to events, attendees, vendors, and expenses.
- Support other administrative tasks and projects as needed.
Your profile:
- Be an enrolled student on a Bachelors or Master’s degree.
- You must have the right to work in Germany.
- Fluent English language skills, both written and spoken. Basic German knowledge and other languages are an advantage.
- Some practical experience in the field of event planning or customer service.
- Reliable and customer service-oriented.
- Strong organizational skills, attention to detail, communication skills and ability to work in a team.
- Good knowledge of MS Office
What we offer:
- Hourly salary: 16 EUR per hour
- 1-year part-time contract (20 hours per week) with the possibility of extension based on projects and performance
